Processing of Personal Data on Our Website

Contacting Us

If you contact us via the website or by email, the data you provide (e.g., name, email address, message) will be stored for the purpose of processing your inquiry and in case of follow-up questions. This data will not be shared without your consent. Processing is based on Art. 6(1)(b) GDPR (performance of pre-contractual measures) or on our legitimate interest under Art. 6(1)(f) GDPR.

Newsletter

If you subscribe to our newsletter via the website, we process your email address and, optionally, your name to send you regular information about our association’s activities, events, and collaborative projects. Subscription requires a double opt-in procedure.

We use Mailchimp (Intuit Inc., USA) to manage our newsletter. This means your data may be transferred to the USA. We have signed a data processing agreement with Mailchimp to ensure compliance with European data protection standards.

You can unsubscribe from the newsletter at any time via the link provided in each email or by contacting us directly. Your data will be deleted upon revocation of your consent.

Data Processing Related to Membership

When you apply for membership, we process the personal data provided in the membership form (e.g., name, contact details, professional background) to manage your membership, organize events, and facilitate internal communication. This processing is based on Art. 6(1)(b) GDPR.

We store your data for the duration of your membership and beyond, only as long as required by law or to assert or defend legal claims. We do not pass your data on to third parties without your explicit consent.

Data Processing in the Context of Events and Projects

For events and projects organized by the association, we may collect personal data (e.g., participant lists, registration information, email addresses) for planning and implementation purposes. This is done partly on paper (e.g., sign-up sheets at events) and partly digitally (e.g., by email or online forms). The legal basis for processing is Art. 6(1)(b) GDPR or, where legitimate interests apply, Art. 6(1)(f) GDPR.

Processing of Artists’ Data

Artists participating in our projects or events may voluntarily provide us with the following data:

  • Name and contact information

  • Website and social media profiles (e.g., Instagram, Facebook)

  • Portrait photos

  • Images of their artworks

We use this data to promote the participating artists on our website, social media platforms, and, where applicable, in printed materials. Publication of this data is based on the artist’s explicit consent pursuant to Art. 6(1)(a) GDPR given during registration or participation. You may revoke your consent at any time with future effect by sending us an email. Upon request, we will remove any published content accordingly.

Photo and Video Recordings

Photos and videos may be taken at our events for documentation and promotional purposes (e.g., on our website, social media, newsletters). Data processing is based on our legitimate interest under Art. 6(1)(f) GDPR to promote and document our activities.

If you do not wish to be photographed or filmed, please inform a member of our team at the event. We will respect your preference and exclude or blur you in any recordings. You may also request removal of any published image at a later time by contacting us.

Integration of Third-Party Content (e.g., YouTube)

Our website may embed third-party content such as YouTube videos (Google Ireland Limited). When you visit a page with embedded content, a connection to the third party’s servers is established, which may result in the transmission of personal data (e.g., IP address). YouTube may place cookies on your device and transmit data to the USA.
